Coop Advertising

A Plan that Pays

By applying 5% of your net purchases, Seiko Optical Products will pay up to 50% of your advertising costs for pre-approved advertising. The following information outlines how to go about developing an advertising program and how to submit a claim for co-op advertising.

Accrual

Program funds are based on 5% of net purchases of Perfas product, excluding freight, handling, discounts, returns and state and local taxes.

Co-op dollars are earned during a 12-month period beginning January 1st and ending December 31st. Co-op accrual must be used for advertising during the calendar year. Co-op claims must be submitted within 90 days of the date of the advertising to be eligible for reimbursement. For December advertisements, claims may be submitted no later than March 31. As of April. Any unclaimed co-op accrual is forfeited.

Accrued dollars will be credited to the account within 30 days of submission of a claim (with proper documentation). If the funds accrued do not cover the full claim at the time of submission, the available accrued amount will be credited and the claim will remain open for credit as additional co-op funds are accrued

  • Mail the pre-approval form, claim form and proof of performance within 90 days of the advertising.

Media Qualifications & Documentation

In order for your advertising to qualify for co-op funds, certain media restrictions apply.
All general-interest newspapers (daily, weekly & Sunday) and general editions of magazines qualify if they have primary coverage in the customer’s business area. Print advertising must qualify for second-class mailing and have advertising rates/circulation that are published and verified by independent audit.

To receive reimbursement, you must submit:

  • For all Print Advertising: A full page tear sheet and a NET media invoice. Advertising agency media invoices do not qualify as a submission.
  • For newspapers: In cases where one ad of a single size runs in many markets, a notarized “Proof of Performance” showing samples of the ad, and indicating each day it has run. This is an acceptable alternative to a complete tear sheet of each multiple insertion of the ad.
  • Broadcast Advertising: Qualification is restricted to thirty and sixty second spots, with live announcer on tape, on a FCC-approved broadcast station. You must submit a radio or TV station invoice showing dates, time run, NET cost per spot, total NET cost, and product advertised.
  • Direct Mail: A complete copy of the mailing piece and the printer’s invoice as well as documentation of mailing, e.g., postal receipts and affidavit of distribution to validate its use as a direct mail piece.

Pre-Approval & Ad Eligibility

Any form of advertising not provided by Seiko Optical Products must be pre-approved by us in writing in order to qualify for co-op. Use the Advertising Pre-Approval Form available at www.perfas.com. Follow the instructions on the form to submit your advertising media to the Perfas Co-op Advertising Department. We will authorize the advertisement and return a copy to you. When submitting a claim, please include a copy of the pre-approval form with your claim.

In order to qualify for the 50% reimbursement of the total ad cost, it is important that the advertisement be devoted entirely to the Perfas product. If other non-competing lens products or brands share the advertisement, reimbursement will be based on the percentage of space devoted to Perfas.

The following media are available for co-op:

Print media – newspapers, magazines, directories (but not yellow pages).
Broadcast – radio and television.
Outdoor advertising – billboards & kiosks.
Direct mail – newsletters, brochures, recalls, and coupon packs.
Other - Other forms of advertising may be considered for co-op advertising. These include, but are not limited to in-store (duratrans, on-hold, etc.) and on-line advertising.

The following eligibility rules apply for media:

  • Yellow pages advertising does not qualify for coop reimbursement
  • Postage and mailing envelopes are not eligible for reimbursement
  • No other lens manufacturers’ photos, lenses or names may be mentioned.
  • Ads with non-competitive products, such as frames and contacts are eligible for reimbursement, however reimbursement is reduced proportionally based on the percentage of space devoted to Perfas.
